Human Resources Generalist

PRIMARY OBJECTIVE:

Participates in and supports all areas of Human Resource Management for the organization with a primary focus on recruitment of hourly and salaried, non-exempt team members, students and temporary employees, data analysis, lead on HRIS performance management, compensation processes, onboarding and recruiting module.

MAJOR AREAS OF RESPONSIBILITY:

  • Works with VP and SR Mgr. to develop and implement hiring and retention strategies.  Responsible for all facets of hiring process, including attending career fairs, job postings, conducting phone and face to face interviews, reviewing skills and test results where applicable, completing reference and back up for running background checks.  Composes offer letters with VP or SR Mgr. approval.  And communicates hires to organization through approved channels. Partners with hiring managers to update job descriptions and understand necessary skill sets of open positions. 
  • Responsible for managing all aspects of the Visit Orlando’s intern program. Implements hiring procedures for qualified Intern candidates, establishes and maintain relationships with local colleges, and works closely with hiring managers to update internship flyers for positions being recruited.
  • Conducts 45-day check-ins for the full-time team members whom they brought into the organization to gauge how new team members are acclimating to position.  Address any concerns and bring forward when appropriate.  Conducts exit interviews as needed.
  • Attends career and job fairs to aid in recruiting, develop a pool of qualified candidates through networking in the community.  Works with approved staffing agencies and recruiters as appropriate to fill open positions.  Creates and maintains relationships with local colleges.
  • HRIS lead on the following system modules: Performance Management, Compensation Management, Recruiting, On-Boarding, and troubleshooting any and all issues with the above-mentioned areas.
  • Maintains thorough knowledge of all Visit Orlando policies and procedures. Answers team member questions, interprets Visit Orlando policies, and attempts to resolve work-related problems for team members. Escalates concerns to Sr. HR Mgr./VP as appropriate. 
  • Works with Managers requesting temporary staffing within their department.  Ensures Business Affairs approval process is followed.  Provide job summary or create new job summary for agency to fill temporary position.  Works with Sr.HR Mgr. to keep agency contract files up to date.
  • Participates in developing department goals, objectives and systems.
  • Completes surveys with the direction of the VP in a timely manner. (EEO-1, EAF, etc.)
  • Primary HR contact for Cares Committee.  Works with committee to plan and execute events.
  • Participates in the planning and execution of employee activities and events as needed.
  • Works with VP to create presentations for all teams calls.
  • Evaluates reports, decisions, and results of department initiatives in relation to established goals. Recommends new approaches, policies, and procedures to effect continual improvements in the efficiency of the department and services performed.
  • Ensures compliance with all federal, state, and local employment laws.
  • Ensures own work area is maintained in a safe and clean manner.
  • Performs other accountabilities and projects as assigned.

Recruitment Administrative Responsibilities:

  • Places approved position advertisements with local and national employment resources.  Ensures that all Visit Orlando jobs are posted in all appropriate locations as directed.
  • Places approved job postings on the www.visitorlando.com Website.  Removes postings when the position has been filled.
  • Maintains a log of advertisements and job postings (print & electronic).
  • Maintains Recruiting spreadsheet for overall HR goals.
  • Processes all incoming resumes (electronic, fax & mail) including sorting them into appropriate e-file. Notifying applicants and candidates of position updates when requested.
  • Maintains a log of department-specific assessments and directions for such assessments (example: Public Relations editing and writing assessments)
  • Makes travel arrangements and hotel accommodations for applicants as needed.
  • Creates offer letters for positions they recruit for.
  • Follows up on receipt of signed offer letter from the candidate if needed.
  • Enters background check information into the system for all interns.  Monitors online system for completion of reports.  Prints reports for HR Administrator. Processes the adverse action notices if necessary.
  • Completes Social Security Number Verification checks as needed for all interns.
  • Completes New Hire Reporting with the State of Florida for all interns.
  • Completes and files Motor Vehicle Reviews on all interns.
  • Handles all onboarding emails for all interns and works with the hiring manager to ensure a great onboarding experience. 
  •  Enters all new hire information for all interns into the HRIS system.
  • Backup for facilitator for team member orientation
  • Organizes and prioritizes correspondence received to the HR electronic inbox and determines the importance and timeliness of all correspondence and distributes it to appropriate HR professional.
  • Lead on creating and maintaining the Onboarding/ Recruiting Module in UKG .

HRIS System Responsibilities:

  • Responsible for the Performance Management and Compensation Management processes in collaboration with the VP of HR and Sr Mgr. of HR.  Responsible for building workflows, and opening and closing the processes. Works with VP of HR and Sr Mgr. to create the communication and timeline to all team members participating regarding process steps and deadlines. Creates necessary budget and scoring reports at the request of the VP of HR. Assist with questions and technical issues as they arise. Facilitate the Performance Management training for all eligible team members.
  • Works with VP & Sr. Manager of HR to identify opportunities for new system uses to improve efficiencies and/or expand services.
  • Communicates issues with the HRIS to VP, SR HR Manager, and HR Administrator, as needed.
  • Posts/removes information to the Ultimate Portal. Responsible for maintaining Ultimate Portal.
  • Back up technical and system support and assist in the implementation of new HRIS, if needed.  
  • Assist VP & Sr. Manager of HR to complete and pull data for various survey requests.  Run reports and complete necessary information for the request.
  • Provides primary back-up to the HR Administrator as needed.

QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

Bachelor's degree (B.A.) from a four-year college or university; a minimum of five years of generalist experience with 2 years of recruiting and HRIS experience or equivalent combination of education and experience.

COMPUTER SKILLS:
35 cwpm keyboarding, Intermediate to advanced level proficiency in MS Word, Outlook, and Excel. Basic level or higher proficiency in PowerPoint.  Experience with a human resources or payroll database.  Experience with carrier Web site data entry for enrollment and termination of benefits is preferred.

LANGUAGE SKILLS:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle or feel objects, tools, or controls; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk.  The employee must occasionally lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.

WORK ENVIRONMENT:
The environment for this job is typical for an office and does not result in exposure to conditions outside of the normal office environment.

LOCATION:
Candidates must be located in Orlando. There is no relocation assistance available for this position.
